The PF’s Nomination Committe (PF IndstillingsUdvalg) processes exemption cases for residents and non-residents of PKS dormitories.

DISPENSATIONS

Do you not meet the selection criteria for the PKS dormitories, or is it impossible for you to get accommodation? Some people need housing more than others due to illness or other things that are not written down when looking for housing. You can therefore send exemptions to PFIU to get some help.

Waivers are only accepted if one of the following forms is completed:

This procedure has been established in order to treat all applications fairly, as decisions can then be made on an informed basis. Dispensations must subsequently be sent to iup@pf.dk in pdf or word format, from where they will be processed. Waivers submitted in paper form will not be accepted.

Applications are processed monthly.

Spring application deadlines:
30 January 2023 – at 23:59
27 February 2023 – at 23:59
3 April 2023 – at 23:59
1 May 2023 – at 23:59
5 June 2023 – at 23:59

Remember that it is volunteer students who process these applications in their spare time. Therefore, have patience and respect for this.

TELEPHONE CONVERSATION

PFIU has phone times approx. once a month, typically around a week before the deadline for exemption applications. If you wish to have a telephone conversation, please write an email to iup@pf.dk, with ‘Telephone conversation’ in the subject field. In the email, please write your phone number and what you would like to talk about.

ATTESTATION FORM

In connection with the study activity survey, you will be asked to upload study confirmation with start date and expected end date. If you have problems getting a study confirmation, you can fill in an attestation form and get it signed by your educational institution.

In the hope of being able to answer some of your questions, we have created an FAQ. One for exemptions and one for the study activity survey.

Dispensation applications

When should you apply for exemption?

  • You must apply for a dispensation when you become inactive in your studies or are more than a year late on your education. It is a requirement to live in PKS dormitories.
  • You can also apply for a dispensation to appear on the waiting lists if there are any special circumstances that apply.
  • You can also apply for exemption as a non-resident to be allowed to apply for housing if you are over 30 years old. 35 years, if you apply to Trørød college.

How to apply for exemption?

  • You apply for a dispensation by filling in the document “boende.docx” if you are a resident, or the document “non-boende.docx” if you are applying for a dispensation to get on the waiting lists. These documents must be sent to the Selection Committee by email (iup@pf.dk). Templates for exemptions can be found above.
  • When you apply for exemption as a resident, it is important that you at least attach your study confirmation to the exemption. A valid study confirmation contains your name, which program you are on, when the program started and when it is expected to end, as well as the date on which the confirmation was printed.
  • At DTU, the study confirmation can be found on inside under Toolbox -> Grades -> Transcripts from STADS -> Study confirmation
  • At the University of Copenhagen, you must ask the administration for a study confirmation with an end date on it. The one from KU-net is not enough.
  • Elsewhere, a confirmation must contain the above items.

What criteria do we already take into account?

  • Our Selection Criteria already take seniority and distance between residence and place of education into account. Applications for individual housing are only approved in very few cases, so as a starting point always apply for several different housings.

Which documents must be used if you are more than a year late?

  • Typically, you will need to be able to present documentation for the delay. If, for example, you have been ill, you must have a valid medical certificate from the period in which you have been ill.

Does an approved exemption application from an educational institution also apply to PKS?

  • No, even if you have been approved for a dispensation at the educational institution to postpone your studies or otherwise, you must still apply for a new dispensation from us.

Study activity survey

Who should I contact if I have problems?

  • Can you contact PKS on 45 25 92 70, otherwise you can be called by PFIU by writing an email, which can be seen above. If you experience technical problems, please contact PKS. If you have questions about exemptions or the like, contact us at PFIU.

What should I upload?

  • You must upload a valid study confirmation. A valid study confirmation contains your name, which program you are on, when the program started and when it is expected to end, as well as the date on which the confirmation was printed. This date must not be older than 14 days before uploading to pks.dk.
  • If you have previously had a dispensation approved, you must attach a photo of the email in which the dispensation was approved.

Can you upload your grade certificate as proof of study?

  • No, your grade certificate does not count as a valid study confirmation. At most universities, the study guide will be able to help you find the study confirmation if you are in doubt.

I study at a university other than DTU and only have a study confirmation without an end date?

  • Most universities can help you get a study confirmation with an end date on it. However, this often requires contacting the study guidance. It may well take time for the study guide, so contact them in good time.

When is the study activity survey?

  • The study activity survey is typically sent out in November, with a deadline in January. However, there may be several study activity surveys during the year depending on the need.
